Role Overview

A client of byteSpark.ai, a premier investment firm with offices in Riyadh and Dubai, is urgently seeking a highly experienced Senior Administrative Manager to join our dynamic team. This pivotal role is a unique blend of executive assistance, operations, HR, and office management, designed for a proactive and organized professional to support our senior leadership and ensure the seamless day-to-day running of the business. The successful candidate will manage a wide range of responsibilities, from complex calendar management and board logistics to vendor relations and recruitment coordination. You will be instrumental in liaising with compliance teams, supporting regulatory requirements, and driving key business initiatives. We are looking for a discreet and independent individual with a strong background in financial services, preferably within a DIFC/DFSA or CMA regulated environment. This is a high-responsibility position offering significant exposure to the core functions of a leading investment firm. The role is preferably based in Riyadh but is open to exceptional Arabic-speaking candidates in Dubai.

Requirements

  • 5 to 10+ years of experience in a comprehensive administrative, EA, or office management role within the financial or professional services industry.
  • Proven experience providing high-level executive support to senior leadership, including complex diary and international travel management.
  • Hands-on experience with HR coordination, including recruitment support, employee onboarding/offboarding, visa processing, and benefits administration.
  • Demonstrated ability in office and operations management, including facilities oversight, vendor sourcing, and contract management.
  • Professional working proficiency in Arabic is mandatory.
  • Experience liaising with compliance, auditors, and external advisors on regulatory matters.
  • Ability to work independently, manage multiple competing priorities, and maintain a high level of discretion and professionalism.
  • Familiarity with supporting data protection processes and maintaining confidential records.

Desirable

  • Direct experience working within a DFSA or CMA-regulated firm is strongly preferred.
  • Candidate is immediately available to start.
  • Based in Riyadh, with a preference for Saudi nationals.
  • Experience managing and coordinating Corporate Social Responsibility (CSR) initiatives.
  • Familiarity with business continuity planning and implementation.
